The Office Manager provides operational and administrative support across multiple functional areas and manages day-to-day office activities. This position is responsible for ensuring an efficient office flow and collaborative team environment.
Essential Job Functions:
Administration
• Receives and processes incoming mail and deliveries. Scans and disseminates mail to correct owner or network folder. Implements scanning and mail/document management protocols.
• Manages outgoing mail and deliveries for pick up or drop off at post office.
• Greets visitors and answers direct office phone calls. Transfers call or takes messages.
• Manages the office environment, office supply inventory, and orders supplies within budget. Maintains a well-organized workspace.
• Assists with office layout planning and facility management identifying process and office improvements.
Operations
• Coordinates vendors, maintains vendor contacts, portal logins, vendor implementation, contract management, and vendor invoicing. Seeks bids for services as directed by COO and assists with managing vendor relations.
• Vendor contact for system and software upgrades. Works with operational area to test new enhancements or features. Communicates changes to staff.
• Creates remote deposits ensuring scanned checks reconcile with deposit totals. Makes deposits at bank as needed for cash deposits.
